Intent
This stage is meant to hold the policy card while waiting for it to download from IVANS into your AMS or directly from the carrier site. It gives you time to review and decide the renewal path. No automations run in this stage.
Expectations
- Card created in Hubspot
- Wait for the policy to download from the carrier
- Cards must be moved manually to the ‘Send Survey’ or ‘Download Received’ Stage.
- Review customer profile and renewals:
- Is there an email and phone number listed on the primary contact?
- Do the policies align with what is listed in the AMS?
- Are there any open or closed service requests or claims during the past policy term?
- Review appropriate tags
Scenarios
A customer’s insurance policy is up for renewal in 60 days, and the deal appears in the ‘To Do’ stage.

- No evaluation has been made yet regarding whether the rate falls over or under threshold, or if the carrier will not renew.
Action: Move the card to the ‘Download Received’ stage. Once details are fully reviewed, move it to the correct next stage.

- Upon review, the team member notices the renewal rate has increased significantly, beyond the agency's SOPs.
- There are no valid caveats (e.g., open claims, monoline policy) to justify the increase.
Action: Move the card to the ‘Send Survey - Over Threshold’ stage.

- The team member sees that the rate has either decreased or increased minimally within acceptable SOP limits.
Action: Move the card to the ‘Send Survey - Under Threshold’ stage.
• Carrier Non-Renewal
• Upon review, the team member sees the carrier has declined to renew the policy due to underwriting reasons.
• Action: Move the card to the ‘Send Survey - Carrier Non Renew’ stage.
