How to Select a VA

Competitive Recruiting

We receive over 3,000 applications each month and screen every candidate through several interviews. Each applicant must show they get it, want it, and have the capacity to meet agency standards before moving forward.

Background Checks

Candidates who pass the interview process complete background and health screenings. This step ensures every virtual assistant meets Lava’s standards for security, reliability, and professionalism.

Matching Candidates

During your demo, we document any specific skills or systems you need. Our team uses that information to filter and match candidates who align with your workflows and business goals.

Candidate Selection

Your Assignment Strategist leads the interviews and helps you evaluate each finalist. You can ask as many questions as needed. Once you make your selection, your virtual assistant begins work on Monday.

Automation Build Timeline

Week 0-2

Preparation

Your project manager connects one week before the build begins to gather system access and confirm setup details. During this stage, your virtual assistant works with our Development team to configure your tech stack under the supervision of our automation specialists.

Week 3-5

Review and Refine

This is your most active phase. We review builds together, collect your feedback, and make updates to prepare for launch. You are not expected to review every detail, as weekly meetings ensure consistent progress and clear communication throughout the process.

Week 6-12

Launch and Training

We go live in week six and begin using your new tools. Weekly meetings focus on training, performance tracking, and consistent adoption. You gain confidence as your team learns the system and we fine-tune automation for lasting results.

Post-Launch

Monthly Consults

After launch, your dedicated Account Manager keeps you on track with regular strategy calls. We review performance, resolve challenges, and share new automation ideas as your agency evolves. Continuous collaboration helps maintain momentum and drive long-term growth.

Week 1

Training Kickoff

Meet your Account Manager (AM) and Team Lead (TL). Together, you will build a customized training plan based on your systems, carriers, and daily workflows. During this stage, your virtual assistant begins foundational insurance training and learns how your agency operates.

Week 2-6

Hands-On Learning

Your virtual assistant attends class in the mornings and applies new skills while working directly with your agency in the afternoons. They complete Lava University courses focused on your systems and carriers while beginning hands-on work. Weekly check-ins with your AM and TL ensure consistent progress and timely feedback. 

Month 3-11

Independence and Growth

Your virtual assistant completes their probationary period and begins performing tasks independently. You will continue monthly meetings with your AM and TL to expand responsibilities, strengthen processes, and support ongoing development. Lava reinforces growth through SOP writing and continuing education. 

Month 12

Annual Review

At the one-year mark, you and your AM and TL review accomplishments, set new goals, and plan next steps. Your virtual assistant receives a well-earned raise, and meetings shift to quarterly reviews focused on continued growth, efficiency, and long-term success.
